We do not use QuickBooks customer or vendor information to build advertising profiles or serve targeted advertising.

4. Data Minimization and Purpose Limitation

We seek to access and process only the information reasonably necessary to provide the authorized synchronization and automation workflows.

We do not use information obtained from QuickBooks for a materially different purpose unless:

  • The user directs us to do so;

  • The user provides additional authorization;

  • The use is necessary for security or fraud prevention; or

  • The use is required by law.

5. Legal Grounds for Processing

Depending on the applicable law and circumstances, we process personal information because:

  • Processing is necessary to provide the Service under our agreement with you;

  • You or an authorized user has provided consent;

  • Processing is necessary to comply with law;

  • Processing is necessary to protect legal rights or prevent fraud; or

  • We have a legitimate business interest that is not overridden by applicable privacy rights.

Where we process customer or vendor information on behalf of a business user, that business user generally determines the purpose of the processing, and we process the information to provide the requested Service.

6. How We Disclose Information

We may disclose information in the following circumstances.

6.1 Service Providers

We may provide information to vendors that perform services on our behalf, such as:

  • Cloud hosting;

Service providers are permitted to use the information only as necessary to provide contracted services and are expected to protect it appropriately.

6.2 Intuit and QuickBooks

We exchange information with Intuit as necessary to authenticate the connection, make authorized API requests, synchronize information, troubleshoot the integration, and comply with Intuit’s requirements.

Intuit independently processes information under its own agreements and privacy notices.

6.3 At Your Direction

We may disclose or transmit information when you configure the Service to send information to QuickBooks, another connected service, another user, or another authorized recipient.

6.4 Legal and Safety Reasons

We may disclose information when we reasonably believe disclosure is necessary to:

A recipient will remain subject to this Privacy Policy or will provide notice before materially changing how the information is used.

6.6 Aggregated or De-identified Information

We may create and use aggregated or de-identified information for analytics, security, reliability, and Service improvement, provided that the information cannot reasonably identify a user, customer, vendor, or business.

We will not attempt to reidentify information maintained in a de-identified form except when reasonably necessary to test the effectiveness of our de-identification methods or as permitted by law.

7. We Do Not Sell QuickBooks Data

We do not sell, rent, or license information obtained through the QuickBooks integration to data brokers, advertisers, or unrelated third parties.

We do not disclose QuickBooks customer or vendor information for cross-context behavioral advertising or targeted advertising.

8. Data Retention

We retain information only for as long as reasonably necessary to:

  • Provide the Service;

  • Maintain an active QuickBooks connection;

  • Complete authorized synchronization workflows;

  • Maintain security and audit records;

  • Resolve disputes;

  • Enforce our agreements; and

  • Comply with legal, tax, accounting, or regulatory requirements.

Active accounts

While an account and QuickBooks connection remain active, we may retain the information needed to provide the Service, including configuration information, synchronization records, identifiers, authorization tokens, and customer or vendor data required by the workflow.

Disconnected integrations

When a QuickBooks integration is disconnected or authorization is revoked:

  • Future access to the QuickBooks company stops after revocation takes effect;

  • Stored OAuth tokens are deleted or rendered unusable;

  • QuickBooks-derived customer, vendor, and transaction data that is no longer necessary will be deleted from active systems within 30 days, unless continued retention is required by law or expressly requested by the user;

  • Limited synchronization logs may be retained when necessary for security, fraud prevention, dispute resolution, or legal compliance; and

  • Records previously transmitted to QuickBooks are not automatically removed from QuickBooks.

Closed accounts and deletion requests

Following a verified account-deletion request, information that is not legally required or reasonably necessary to retain will be deleted from active systems within 30 days.

Backups

Information deleted from active systems may remain temporarily in encrypted or access-restricted backups. Backup copies will be deleted or overwritten according to our normal backup cycle, generally within 90 days, unless a longer period is legally required.

Information retained for legal, security, fraud-prevention, or dispute-resolution purposes will be isolated and used only for the applicable retention purpose.

9. How to Disconnect QuickBooks or Request Deletion

You may stop future QuickBooks access by disconnecting the integration through:

  • Your [APP NAME] account;

  • The application-management area of QuickBooks;

  • Intuit’s authorization settings; or

  • A request sent to [PRIVACY EMAIL].

To request deletion of your Service account or stored QuickBooks-derived information, contact:

Email: [PRIVACY EMAIL]
Deletion Request Page: [DATA DELETION URL, IF AVAILABLE]

Include the email address associated with your Service account and the connected business name. We may need to verify your identity and authority before completing the request.

Deleting data from the Service does not delete accounting records that were previously created or synchronized in QuickBooks. Those records must be managed through QuickBooks by an authorized QuickBooks user.

10. Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, loss, or destruction.

These safeguards include, as appropriate:

  • HTTPS and transport encryption;

  • Restricted access to production systems;

  • Role-based access controls;

  • Secure storage of authorization credentials;

  • Separation of development and production environments;

  • Logging and monitoring of security events;

  • Vulnerability and dependency management;

  • Backup controls;

  • Employee or contractor confidentiality obligations; and

  • Incident-response procedures.

No electronic system is completely secure. We cannot guarantee that unauthorized access, loss, or misuse will never occur.

You are responsible for protecting your account credentials, restricting user access, and promptly notifying us of suspected unauthorized activity.

11. Data Breach and Security-Incident Response

When we become aware of a security incident involving personal information, we will investigate, contain, and remediate the incident as appropriate.

We will provide notices to affected users, regulators, Intuit, or others when required by applicable law, contract, or platform requirements.

12. Your Privacy Choices and Rights

Depending on where you live and applicable law, you may have the right to:

  • Request access to personal information we maintain about you;

  • Request correction of inaccurate information;

  • Request deletion;

  • Request a portable copy of certain information;

  • Object to or restrict certain processing;

  • Withdraw consent where processing is based on consent; and

  • Appeal a denied privacy request.

You may submit a request to [PRIVACY EMAIL].

We may ask for information needed to verify your identity and authority. Authorized agents may submit requests where permitted by law, subject to verification.

We will not unlawfully discriminate against you for exercising a privacy right.

Because customer and vendor information is often processed on behalf of the business that connected the QuickBooks company, individuals associated with a customer or vendor may need to submit their request directly to that business. We will assist the business with an appropriate request as required by law or contract.

13. United States State Privacy Rights

Residents of states with applicable comprehensive privacy laws may have additional rights regarding access, correction, deletion, portability, and certain disclosures.

We do not sell personal information for money.

We do not use QuickBooks-derived customer or vendor information for targeted advertising.

Where applicable law defines certain operational disclosures as a “sale” or “sharing,” you may contact [PRIVACY EMAIL] to exercise the rights available to you.

14. International Data Transfers

The Service is operated from the United States. Information may be processed in the United States or another country where we or our service providers operate.

Those countries may have data-protection laws different from those in your location. Where required, we use appropriate safeguards for international transfers.

15. Children’s Privacy

The Service is intended for businesses and adults. It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.

Contact [PRIVACY EMAIL] if you believe a child has provided personal information directly through the Service.

16. Third-Party Websites and Services

The Service may contain links to or integrations with third-party services, including QuickBooks.

We are not responsible for a third party’s independent privacy, security, or data-handling practices. Review the privacy policies and terms of each third-party service you use.

17. Intuit and QuickBooks

QuickBooks and its authorization systems are operated by Intuit.

Your QuickBooks account and Intuit’s processing of information are governed by Intuit’s own terms and privacy notices. This Privacy Policy governs only the information processed by [COMPANY LEGAL NAME] through [APP NAME].

[APP NAME] is an independent third-party application and is not owned or operated by Intuit.

18. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in the Service, legal requirements, security practices, or data-processing activities.

The updated version will show a revised effective date. When a change materially affects how we use personal information, we will provide reasonable notice through the Service, by email, or through another appropriate method.
